1. Information We Collect

We collect information you provide directly to us when you create an account, use the Service, or communicate with us. This includes your name, email address, phone number, company information, billing details, and any other information you choose to provide.

We automatically collect certain technical information when you access the Service, including your IP address, browser type, operating system, device identifiers, pages viewed, actions taken, and timestamps. This data helps us maintain and improve the Service.

When you use AI-powered features, we process the content you provide (such as text, documents, and queries) to generate responses and deliver the Service. This content is processed in accordance with this policy and is not used to train general-purpose AI models.

2. How We Use Information

We use the information we collect to provide, maintain, and improve the Service, process transactions, send transactional communications, and respond to your requests and inquiries.

We use technical and usage data to monitor and analyze trends, detect and prevent fraud or abuse, ensure platform security, and improve the overall user experience.

We may use aggregated, anonymized data for internal analytics and to develop new features. This data cannot be used to identify individual users. We do not sell, license, or share your personal data with third parties for their own marketing purposes.

3. Data Storage & Security

Your data is stored on secure, encrypted servers hosted by reputable cloud infrastructure providers. We employ industry-standard security measures including encryption at rest and in transit, access controls, regular security audits, and intrusion detection systems.

We maintain a dedicated cybersecurity budget and team responsible for ongoing security monitoring, penetration testing, compliance verification, and incident response.

While we implement robust security measures, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security but will promptly notify affected users in the event of a data breach, in accordance with applicable law.

4. Third-Party Services

We use third-party service providers to help us operate the Service, including cloud hosting, payment processing, email delivery, and analytics. These providers are contractually obligated to protect your data and may only use it to perform services on our behalf.

The Service may integrate with third-party applications at your request (such as email providers, calendar services, or accounting software). When you enable an integration, we share only the data necessary for the integration to function. You can revoke integrations at any time.

We are not responsible for the privacy practices of third-party services. We encourage you to review their privacy policies before enabling integrations.

5. Cookies & Tracking

We use essential cookies to enable core functionality such as authentication, session management, and security. These cookies are strictly necessary and cannot be disabled.

We use analytics cookies to understand how users interact with the Service, which pages are most visited, and where users encounter issues. This data is aggregated and anonymized.

We do not use third-party advertising cookies or cross-site tracking. We do not participate in ad networks or sell tracking data. You can manage cookie preferences through your browser settings.

6. Your Rights (GDPR/CCPA)

Depending on your jurisdiction, you may have the following rights regarding your personal data: the right to access, correct, delete, or export your data; the right to restrict or object to processing; the right to data portability; and the right to withdraw consent.

Under the General Data Protection Regulation (GDPR), if you are located in the European Economic Area, you have the right to lodge a complaint with your local data protection authority. Our lawful bases for processing include contract performance, legitimate interests, and consent.

Under the California Consumer Privacy Act (CCPA), California residents have the right to know what personal information is collected, request deletion, and opt out of the sale of personal information. We do not sell personal information.

To exercise any of these rights, contact us at privacy@omnios.com. We will respond to verified requests within 30 days.

7. Data Retention

We retain your account data for as long as your account is active or as needed to provide the Service. When you cancel your account, we retain your data for 30 days to allow for account recovery or data export.

After the retention period, your data is permanently deleted from our active systems. Residual copies in encrypted backups are purged within 90 days.

We may retain certain anonymized, aggregated data indefinitely for analytics and service improvement purposes. This data cannot be used to identify individual users.

8. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children under 18.

If we become aware that we have collected personal information from a child under 18, we will take steps to promptly delete that information. If you believe we have collected data from a minor, please contact us immediately at privacy@omnios.com.

9. International Transfers

Your data may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from the laws of your jurisdiction.

When we transfer data internationally, we implement appropriate safeguards including Standard Contractual Clauses (SCCs) approved by the European Commission, encryption, and contractual obligations with our service providers.

By using the Service, you consent to the transfer of your data to the United States and other jurisdictions where we or our service providers operate.

10. Changes to Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service and updating the "Last Updated" date.

For significant changes that affect how we process your data, we will provide prominent notice (such as an email or in-app notification) and, where required by law, obtain your consent before the changes take effect.
